Scope and effective date

Effective date: July 31, 2026. This Privacy Policy explains how VidiRelay collects, uses, stores, and shares information when you use the VidiRelay website, workspace, and related features. It applies to information connected to supported public URLs, uploaded files, transcript records, account access, billing references, support requests, read-only sharing, and optional AI writing actions.

This policy describes VidiRelay's current practices based on the features provided. It does not cover the privacy practices of third-party platforms or services you may use alongside VidiRelay, including TikTok, Meta, Instagram, YouTube, Facebook, Google, Stripe, or AgentsFlare. VidiRelay is not affiliated with, sponsored by, or endorsed by those companies.

Information VidiRelay processes

VidiRelay processes information you submit, information needed to operate your workspace, and limited information received from connected services when you choose to use them. Workspace records can include source URLs, uploaded filenames and media, transcripts, timestamped segments, edits, folders, favorites, settings, credit records, payment references, and support requests.

If you sign in with Google, VidiRelay receives your verified email address, display name, and profile image. VidiRelay uses that information to create or maintain your account and session, and does not store your Google password. If you contact VidiRelay, the team receives the name, email address, topic, message, and other information you choose to put in the contact form.

Why information is used

VidiRelay uses information to provide the feature you request, create and maintain your workspace, process transcript jobs, support editing and exports, manage account access, create or revoke share links, respond to support inquiries, and keep billing and credit records when those features are configured. For example, a submitted URL or uploaded file is used to produce transcript content, and saved transcript records let you return to prior work.

Information may also be used to maintain the service, troubleshoot failures, prevent misuse, and understand whether core features are operating as intended. These uses support the product as a transcription workspace. You do not need to use optional AI writing actions to access the core transcription, editing, organization, sharing, or export workflow.

Public URLs and third-party platforms

When you submit a supported public TikTok, Instagram, YouTube, or Facebook URL, VidiRelay uses that URL to provide the processing feature you requested. This may involve retrieving public source information, captions, media details, or media needed to create a transcript. Sending a URL for processing is part of the core service when you ask VidiRelay to work from that source.

VidiRelay blocks private and local-network URLs and does not bypass login gates, access controls, region restrictions, removed media, or platform protections. A third-party platform can change availability or restrict a source, which may prevent processing. Your use of a third-party platform remains subject to that platform's own terms and privacy practices.

Uploads, transcripts, and workspace records

Uploaded audio, video, text, and subtitle files are held for processing and related workspace functions, subject to the configured retention period. Uploaded filenames and media may be associated with transcript records so you can review, edit, compare, organize, and export your work. Signed-in transcript records may remain in the workspace until a deletion or account-closure request is completed.

Transcript records can include the transcript text, timestamped segments, edits, source details, folders, favorites, settings, and history. These records let you return to prior work and manage ongoing projects. Retention settings control the requested workspace retention period, but some operational, support, credit, or payment-reference records may need to be kept separately for legitimate service and recordkeeping purposes.

Google sign-in and session cookies

VidiRelay uses Google sign-in as its account access method. If you choose it, VidiRelay receives your verified email address, display name, and profile image from Google. This identifies your account and provides a consistent sign-in experience. VidiRelay does not receive or store your Google password.

A signed HTTP-only session cookie keeps you signed in and supports account-related requests inside the workspace. Because this cookie is necessary for authentication, signed-in features may not work correctly without it. Google sign-in and Google's handling of account information are also governed by Google's own terms and privacy practices.

Optional AI writing actions

VidiRelay offers optional actions that can generate summaries, hooks, captions, rewrites, or SEO content from transcript text. These actions are separate from core transcription, editing, and export. Transcript text is sent for AI writing only after you deliberately start one of those actions. VidiRelay therefore distinguishes data used automatically to provide a requested core feature from data sent when you choose an optional writing feature.

The writing service uses an AgentsFlare-compatible provider. When you trigger an action, the transcript text needed for that request may be processed to generate the output. If you do not start an AI writing action, the core VidiRelay workflow does not depend on sending transcript text for that purpose. Review generated text before relying on it for publication, factual claims, attribution, or sensitive decisions.

Payments and Stripe

When billing is configured and you make a purchase, Stripe may process checkout and card details for that transaction. VidiRelay keeps the payment and credit references needed to connect a completed purchase to your account, provide credits, handle duplicate events, and support billing questions. VidiRelay does not store full card numbers.

Stripe processes payment information under its own terms and privacy practices. If you have a question about a charge, credits, or VidiRelay billing records, use the VidiRelay contact page and provide the account email, purchase date, and amount. Do not send card numbers or security codes through the contact form.

Read-only transcript sharing

A signed-in user can create a read-only share link for a transcript. Anyone who has an active link may be able to view the shared transcript without signing in. The link remains usable until it is revoked, so it should not be posted publicly or shared with people who should not see the transcript.

Revoking a share link prevents future access through that link, but it cannot remove copies that another person already downloaded, copied, or saved outside VidiRelay. Before creating a link, review the transcript for personal, confidential, licensed, or client information and confirm that sharing is appropriate.

Service providers and international processing

VidiRelay may use service providers for hosting, authentication, payment processing, and optional AI writing. Depending on the feature you choose, information may be processed by those providers on VidiRelay's behalf or as part of the service flow you request. Google supports sign-in, Stripe may support checkout, and an AgentsFlare-compatible service may process transcript text for an AI writing action you initiate.

Online infrastructure and service providers may process information in more than one country. VidiRelay does not promise that all processing occurs in one location. Each third-party service may also process information under its own terms and privacy policy, so you should review those policies when you choose to use the connected feature.

Retention, deletion, and security

VidiRelay keeps information for as long as reasonably needed to provide the workspace, maintain account records, support exports and sharing, answer support requests, prevent misuse, and keep applicable billing or credit references. Uploads are subject to configured retention. Transcript and workspace records may remain until a verified deletion or account-closure request is completed.

Retention varies by record type, active workspace content, share-link state, and operational or recordkeeping needs. VidiRelay takes reasonable steps to protect information, but no online service can guarantee absolute security. This policy does not promise an exact deletion time, the complete absence of operational logs, or technical protections that are not stated here.

Your privacy choices and requests

You choose which supported public URLs or files to submit, whether to create read-only share links, and whether to start optional AI writing actions. You can revoke a share link and change available workspace retention settings. Avoid submitting content you are not authorized to process, and do not put passwords, full payment-card details, or unnecessary sensitive information into transcript or support fields.

Use the contact page to request access to account information, correction, transcript or account deletion, help with a share link, or another privacy-related action. VidiRelay may need to verify your identity and authority before completing a request, especially when it involves account content or another person's information. Some records may be retained when reasonably required for security, dispute handling, billing, or legal recordkeeping.

Children, policy updates, and contact

VidiRelay is a general transcription workspace and is not designed or directed specifically to children. If you believe a child submitted personal information in a way that should not have happened, use the contact page so the situation can be reviewed and appropriate action can be considered.

This policy may be updated when features, providers, or data practices change. The revised version will be posted on this page with a new effective date when appropriate. Questions about this policy, account data, sharing, billing records, deletion, or other privacy matters should be submitted through the VidiRelay contact page. A response may require identity verification.
